House of Delegates Information

One of the main features of our convention is the House of Delegates (HOD). These sessions are an important part of how CNSA business is conducted. As previously communicated, we still plan to have our HOD sessions to elect our 2020-2021 Board of Directors and vote on resolutions. It is important that we have delegate participation. The purpose of this letter is to inform you on steps we have taken and how we plan to hold our annual HOD.

Meeting Remotely

Last month the Board of Directors, in consultation with our attorney, and in accordance with the Emergency Provisions of the CNSA By-laws, did temporarily suspend any requirements that the voting members of the HOD must be physically gathered in one location. This was an action taken in good faith in the anticipation of our inability to meet as a voting body.

HOD Sessions

We have condensed our HOD meetings to two sessions. This is being done to limit the number of hours required for participation and encourage attendance from our delegates. The live session will be held during the following times:

Saturday, October 3rd from 7:00pm to 9:00pm
Sunday, October 4th from 10:00am to 12:00pm

Credentialing Delegates

We will begin to credential delegates on Tuesday, September 29th prior to the start of Convention. The deadline to credential will be Friday, October 2nd. There will be a separate process that will be communicated for delegates to receive their voting credentials. All delegates will need to register for the convention in advance. While the HOD will be open to all attendees, only delegates are eligible to vote. Credentialed delegates will be given instructions on the specifics for voting.

Voting in the HOD

All voting will be done through a third-party application. Ballots will be sent out via secure email to each credentialed delegate. We feel that this is our best option to ensure a convenient and efficient vote for all matters. Additional instructions will be communicated when credentialing begins.

Composition of HOD

Per our bylaws:

1)      Voting members at the House of Delegates shall be all members of the Board and all eligible delegates in attendance. No member shall be eligible to cast more than one vote.

2)     Each constituent chapter of CNSA is entitled to be represented at the House of Delegates with two (2) delegates. Chapters with 20 or more active and/or associate members are entitled to additional delegates at a ratio of 1 delegate for each 20 members (e.g. chapters with 20 - 39 members are entitled to a total of 3 delegates; chapters with 40 - 59 members are entitled to a total of 4 delegates, etc.).

Number of Delegates

We have worked with the National Student Nurses’ Association (NSNA) to determine our current constituent chapters. They have confirmed that we currently have 29 official constituent chapters of CNSA. CLICK HERE to see the list of these recognized chapters. Included on this list is the current membership and anticipated delegate count.

Don’t See Your Chapter on the List?

If you do not see your chapter on the list, but believe that it is an approved constituent chapter, please make us aware, however it will be your responsibility to contact NSNA directly to determine your final status and communicate that back to us. Only NSNA approves constituent chapters. (www.nsna.org

Please note that the filing deadline to be recognized as a constituent chapter was earlier this year. If your chapter missed the deadline, you will not be able to file for this year.
